The six things that set the price
Whichever product you look at, the cost of employee monitoring software comes down to a short list of factors:
- Number of monitored users: most products, Teramind included, are licensed per person monitored.
- Plan or feature level: basic activity and productivity reporting costs less than content-aware data loss prevention.
- Hosting: vendor cloud, your own private cloud or your own servers each shift costs between licence and infrastructure.

Per-user licensing
Teramind's knowledge base explains that it is licensed by user: each monitored user consumes a licence, and there is a five-seat minimum. Teramind's pricing page lets you choose a number of seats, and the seat count is part of how the price is worked out.
The legal duty to monitor only where necessary has a useful side effect here. The ICO expects you to use the least intrusive means that achieves your purpose, and that often means monitoring particular roles or teams rather than everyone. A finance team handling payment data, people with access to client records or staff in their notice period may justify deeper monitoring; others may need light monitoring or none. Scoping by role is good practice under UK GDPR and it keeps the licence count honest.
Plan level

Cloud, private cloud or on-premises
How Teramind is hosted changes where the costs fall:

Private cloud and on-premises suit organisations that need data kept in infrastructure they control, or want features such as network monitoring that Teramind offers on those options (it is available on request for cloud). They can also scale out to multiple nodes for high availability. The trade-off is that you carry the running costs and the work.
Where data is hosted also affects UK GDPR. The ICO's guidance gives the example of a monitoring app hosted in the US as a restricted transfer that needs appropriate safeguards. Teramind Cloud customers choose a US or EU (Germany) region by default and can ask Teramind for another Oracle Cloud data centre; private cloud runs in whichever AWS or Azure region you pick. Add-ons and plan-specific extras
A few items are either paid add-ons or tied to a particular plan or hosting option:
- OCR: reading text from screen recordings so you can search it. Teramind's knowledge base lists OCR as a paid add-on on Starter, UAM and DLP; it is included on Enterprise.
- Network monitoring: a channel from the UAM plan up, available on on-premises and private cloud deployments, and on request for Teramind Cloud.
- Professional services and customisation: part of Enterprise, for tailored deployments, custom reports, rules and integrations.
- Government clouds: Enterprise is available in AWS GovCloud and Azure Government for organisations that need them.

Monthly or annual terms
Teramind's knowledge base says Starter, UAM and DLP are sold on monthly or annual subscriptions, with annual paid upfront; Enterprise is priced on a custom basis.

Small business considerations
The five-seat minimum makes Teramind workable for small teams as well as large ones. For smaller organisations, the points that matter most are:
- Start with the plan that answers your actual question; many small businesses begin with Starter or UAM.
- Teramind Cloud avoids the need for your own server and the time to maintain it.
- The legal duties are the same whatever your size: you still need a lawful basis, a policy and, for high-risk monitoring, a DPIA.
- Budget some internal time for reviewing alerts and reports; software that nobody looks at is money spent for nothing.

A realistic budget includes the work around the software, not only the subscription:
- Writing or updating your DPIA, legitimate interests assessment and monitoring policy
- Consulting staff or their representatives before monitoring begins
- Training the people who will review recordings and alerts, and limiting who has access
- Storage for recordings if you host on-premises or in a private cloud, and a retention schedule so you do not keep data longer than needed
- Time to tune rules so alerts are useful rather than noisy
