In short
Free employee monitoring software exists, from free plans of commercial tools to open-source projects, but free options usually limit users, features, support and privacy controls. UK data protection duties apply whatever you pay. Teramind offers a free trial, so you can test it on your own computers before you commit, and we can help arrange it.

What 'free' usually means
When people search for free employee monitoring software they tend to find four kinds of thing:
- Free plans of commercial products: some vendors, such as ActivTrak, publish a free option. Free plans are usually limited in users, features or how long data is kept, and sit alongside paid plans that add more.
- Free trials: time-limited access to a paid product. Teramind and Hubstaff both offer free trials on their own websites. A trial is for evaluation, not for running your business on.
- Open-source and self-hosted tools: no licence fee, but you install, host, secure and maintain them yourself, and features vary widely.
- What you already own: operating system logs, firewall and web filter reports, and the audit logs in your Microsoft 365 subscription can answer some questions without new software.
Each can be the right answer for a narrow need. The question is whether it does the job you have, safely and lawfully.
What free tools commonly leave out
The gaps we see most often when organisations move from a free tool to a paid platform are:
- Support: nobody to help when the agent will not install, a dashboard breaks or you need evidence for an investigation.
- Behaviour rules and alerts: free tools often show what happened after the event but cannot warn, block or alert in real time.
- Data loss prevention: content inspection of files, email, the clipboard and AI chats is rare outside paid platforms.
- Privacy controls: role-based access, monitoring schedules, exclusions and blacking out of excluded windows in recordings are what help make monitoring proportionate.
- Deployment at scale: silent installation through Group Policy, SCCM or device management, and agents for Windows, macOS and Linux.
- Security of the data you collect: monitoring data is sensitive; it needs access control, encryption and a supplier willing to sign a data processing agreement.
Teramind addresses these across its plans, with content-aware DLP on the DLP and Enterprise plans; Teramind pricing and plans shows which plan includes what.
Updates are easy to overlook. Monitoring agents run with deep access to every computer they sit on, so they need patching like any other software. A free project may go quiet without warning. Teramind publishes a software lifecycle policy: agent and server versions stay fully supported for a period after a newer version replaces them, then move to end of support and finally end of life, when old agents stop reporting. Planning upgrades around that policy is part of how we help keep a deployment healthy.
The legal duties apply whatever you pay
UK data protection law does not care whether your software was free. As soon as you record information about identifiable workers, you are the controller and the ICO's guidance on monitoring workers applies. In particular:
- You need a clear purpose and a lawful basis, often legitimate interests backed by an assessment.
- You must tell workers what you monitor and why, normally in a monitoring policy.
- High-risk monitoring, such as keystroke monitoring or monitoring that feeds into performance management, needs a DPIA.
- You must keep the data secure, restrict who can see it and delete it when it is no longer needed.
- The ICO says you should not assume a product you obtain is compliant. Where a vendor processes data for you it is usually your processor, and you need a written contract with it.
- If the tool sends data to servers outside the UK, for example a US-hosted app, the ICO treats that as a restricted transfer that needs appropriate safeguards.
A free tool that cannot meet these duties is not really free: the cost moves to your compliance risk. Our employee monitoring law UK hub explains the framework. This is general information, not legal advice; take legal advice for your situation.
Is Teramind the right fit for you?
We will check it against your systems and requirements and recommend the right option.
Risks to watch for with free downloads
Be particularly careful with free "keyloggers" and "spy" tools offered for download. Some are aimed at covert personal surveillance rather than workplace use, run hidden by default and give you no way to show workers what is being recorded. The ICO says covert monitoring is unlikely to be justified in most circumstances and is reserved for exceptional cases, such as suspected criminal activity or gross misconduct; see covert monitoring of employees.
There is also a straightforward security risk. Software that records keystrokes and screens is exactly what attackers want to plant, so an untrusted installer can open the door it was meant to guard. Whatever you choose, get it from the vendor directly or through a supplier you trust, and check how the data is stored and who can reach it.
Try Teramind with a free trial
Teramind offers a free trial and an interactive live demo on its website. The trial lets you install the agent on some of your own computers and see real data in the dashboard before you commit.
Teramind's knowledge base explains that trial accounts use its Standard agent, which shows a mandatory acknowledgement notice when it is installed and cannot be deployed remotely or silently. That fits the ICO's emphasis on transparency, and it means a trial is best run with willing volunteers, such as your IT team, who know what is being tested.
We can help you get more from a trial:
- Agree what the trial should prove, such as productivity reporting for one team or detecting files copied to USB
- Choose a small group of test users and computers, and tell them what is being recorded
- Set privacy-first defaults: working-hours schedules and exclusions for personal apps and websites
- Build the rules and dashboards that answer your question
- Review the results with you and, if it fits, move you to the right plan and hosting option
Contact us to arrange it. We do not set the trial's length or terms; those are Teramind's.
When free is enough, and when it is not
Free or very low-cost tools can be enough when the need is narrow: tracking time against projects for a small team, for example, or a short look at which applications are in use. If that is all you need, use what works.
Paid platforms earn their cost when you need any of the following:
- Evidence that will stand up in an investigation, with searchable history and recorded sessions
- Alerts or blocking when sensitive data leaves by email, USB, cloud storage or AI chat
- Detection of risky behaviour across many users, not one-off reports
- Hosting choices, including your own cloud or servers
- Privacy controls that help you show monitoring is proportionate
- A supplier who helps you set it up and keeps it running
Our guide to employee monitoring software pricing explains what moves the cost, and the employee monitoring software comparison sets out the criteria to check across Teramind, ActivTrak, Hubstaff, Insightful and Microsoft Purview Insider Risk Management.
Before you install anything
Whether the tool is free or paid, the order of work is the same:
- Write down the problem you want monitoring to solve
- Check whether a less intrusive option would solve it, such as access controls or existing logs
- Identify your lawful basis and, for higher-risk monitoring, complete a DPIA
- Decide who and what is in scope, the hours covered and what is excluded
- Tell workers, update your policy and consider consulting them or their representatives
- Only then choose and trial the software
If you would like help with the technical side of that list, contact us and we will suggest where to start.
How Forever Systems helps with employee monitoring
We supply, set up and support Teramind for UK organisations. Monitoring only works if it is lawful and trusted, so we help you collect what you can justify rather than everything the product can record.
- Scoping: we talk through what you want to achieve, who and which devices are in scope, and which Teramind plan and hosting option fit
- Inputs for your paperwork: we explain what each setting records, so your data protection impact assessment and monitoring policy describe the real set-up
- Privacy-first configuration: recording schedules, exclusions, masking, role-based access and a visible agent where that is right for you
- Deployment: agent roll-out through your existing device management tools, plus the rules, alerts and dashboards that answer your questions
- Ongoing help: we can help your administrators tune rules, keep agents up to date and review plans and licence counts at renewal
We are an IT and cyber security provider, not a law firm: for legal questions about monitoring your staff, take advice from an employment or data protection lawyer. Ask us for a quote and we will reply with options.
Frequently asked questions
Is there any free employee monitoring software?
Yes. Some commercial vendors offer free plans, others offer free trials, and there are open-source tools you host yourself. Free options usually limit users, features, support or privacy controls, so check whether they do the job you need and let you meet your data protection duties.
Does Teramind have a free trial?
Yes. Teramind offers a free trial and an interactive live demo on its website. Trial accounts use the Standard agent, which shows an acknowledgement notice when installed. We can help you plan the trial and set it up so the results answer your question.
Is free employee monitoring software legal?
The price makes no difference to the law. Any monitoring of identifiable workers in the UK needs a clear purpose, a lawful basis, transparency with staff and, for high-risk monitoring, a DPIA. A free tool that lacks privacy controls or a data processing agreement can make those duties harder to meet.
Is free monitoring software safe to use?
It depends on the source. Tools that record keystrokes and screens are attractive to attackers, so only install software from the vendor directly or a supplier you trust, and check how recorded data is stored, encrypted and accessed.
Can I monitor employees without buying software?
Partly. Operating system logs, web filter reports and the audit logs in your existing business systems can answer some questions. They rarely give productivity analysis, screen-level evidence or real-time data loss prevention, which is where dedicated software such as Teramind comes in.
