In short
Employee productivity monitoring software measures how working time is spent on company computers: time in applications and websites classed as productive or unproductive, active versus idle time, and hours worked against schedules. Teramind adds time tracking by task and workforce analytics dashboards. The ICO expects results to be accurate, fair and open to challenge by workers.

What productivity monitoring software measures
Employee productivity monitoring software, sometimes called employee work monitoring software or workforce analytics, turns computer activity into measures of how time is used. Most products, including Teramind, work from the same building blocks:
- Application and website time: how long people spend in each tool, recorded by the agent on the work computer.
- Classification: each application or site is labelled productive, unproductive or neutral, so time can be summarised by category.
- Active and idle time: whether there was keyboard or mouse input, with a threshold you set before a period counts as idle.
- Schedules: expected working hours, so reports can show early starts, late finishes and absences.
- Time tracking: time recorded against tasks and projects, for billing, costing or capacity planning.
These measures are useful for spotting overloaded teams, tools that waste time, processes that need fixing and how hybrid working is going. They are much less reliable as a judgement on any one person, which is why the legal and practical guidance below matters as much as the features.
Productivity profiles: deciding what counts as productive
In Teramind, productivity profiles decide how activity is classified. You create classification rules that mark an application or website as Productive, Unproductive, Neutral or a custom category of your own. Rules can match a single app or domain, a pattern written as a regular expression, or one of Teramind's built-in web categories, which range from broad groups such as news to specific in-app actions.
Profiles are hierarchical. A child profile inherits its parent's rules and can override them, so a marketing team can treat social media as productive while the rest of the organisation does not, without duplicating every rule. Profiles are assigned to employees or departments, and each employee has one.
Two details make a real difference to fairness:
- Changes apply to new activity, and Teramind can reclassify past activity when you update a profile, so reports are not skewed by an early misclassification.
- Applications and sites you have not classified yet are listed on an Unclassified tab and reported as unclassified time, which shows you where your profiles need work.
Getting classification right by role is the single biggest factor in whether productivity reports are believed. We help you build profiles with the people who understand each role, rather than applying one generic list to everyone.
Dashboards, time tracking and workforce analytics
Teramind's Productivity dashboard brings the measures together in tabs, including Overview, Time Worked, Productivity Analysis, Remote Workforce Activity, Office-by-Office Performance Comparison and Hybrid Workforce Monitoring. The Overview gives organisation-wide indicators such as active and productive hours per day, trends against the previous period and comparisons between departments and locations.
| Capability | What it gives you | Plan |
|---|---|---|
| Productivity dashboard | Active, productive and unproductive time by person, team, department and location | All plans |
| Time tracking | Time cards, time records, employee cost and task cost reports | All plans |
| Tasks and projects | Time recorded against nested tasks, chosen by staff in the Revealed agent or set by rules from the UAM plan | All plans |
| Schedule rules | Alerts for late starts, early finishes, absence, idle periods and working on days off (not on macOS) | All plans |
| Outlook calendar integration | Imports Microsoft 365 calendar events as offline meeting time, reported separately from computer activity rather than left as idle time | UAM |
| Business process analytics | Maps business processes from aggregated workforce activity | Enterprise |
Teramind is careful to separate two measures. Its engagement figure is a score of keyboard and mouse input over time, and Teramind's own documentation says engagement measures input activity, not productivity. Productivity is based on how the applications and websites used are classified. Reading reports with that distinction in mind avoids the commonest mistake: treating a quiet keyboard as idleness when someone is reading, thinking, on a call or working on paper.
For dispersed teams, see remote employee monitoring software, which covers the remote and hybrid views in more depth.

Accuracy and fairness: what the ICO expects
The ICO's guidance on monitoring workers has direct consequences for productivity monitoring:
- Accuracy: you must take reasonable steps to make sure monitoring information is not incorrect or misleading, and the ICO notes that analytics tools can make incorrect inferences about workers.
- Reasonable adjustments: the ICO gives the example of an employer measuring time in a case management system without allowing for staff whose adjustments mean they do some work outside it. Unless that work is taken into account, the monitoring is unfair and inadequate. The ICO also points employers to equalities legislation.
- The right to challenge: workers should be able to see, explain and if necessary challenge monitoring results, within or alongside performance reviews, appraisals and grievance procedures.
- Least intrusive means: the ICO says that just because a form of monitoring is available does not mean it is the best way to achieve your aims; you must be clear about your purpose and choose the least intrusive way to meet it.
- Higher risk with consequences: monitoring that may lead to financial loss, such as performance management, is among the examples of high-risk processing where the ICO expects a DPIA.
What productivity data cannot tell you
Productivity dashboards are good at showing patterns and poor at explaining them. They cannot see work done away from the computer, such as phone calls on a personal handset, whiteboard sessions, site visits or reading printed papers. They cannot tell a hard problem that takes an afternoon of thought from an afternoon of distraction. And a classification that suits one role can be wrong for another: a news site is a distraction for most staff and essential research for a communications team. Treat the figures as questions to explore with the people concerned.
In practice that points to a sensible pattern: start with team-level and department-level reporting, use individual figures as a prompt for a conversation rather than a verdict, and do not make decisions about pay, discipline or dismissal on dashboard numbers alone. Teramind's dashboards include rankings of most and least productive employees; whether you show them to managers at all is a choice to make in your DPIA. This is general information, not legal advice.
Setting up productivity monitoring that people trust
We help you configure Teramind so the reports are useful and defensible:
- Agree the purpose: capacity planning, tool rationalisation, hybrid working review or billing accuracy. The purpose decides which channels and reports you need.
- Start light: Starter covers application and website tracking, productivity analysis, time tracking and screen recording, which you may choose to switch off or limit for a productivity-only project.
- Build role-based productivity profiles: with input from team leads, and with a plan for unclassified time.
- Set the idle threshold and schedules: to match how work actually happens in each team.
- Limit who sees what: role-based access so managers see their own teams, ideally in aggregate first.
- Tell staff and listen: explain the reports in your monitoring policy and give people a route to query their data.

How Forever Systems helps with employee monitoring
We supply, set up and support Teramind for UK organisations. Monitoring only works if it is lawful and trusted, so we help you collect what you can justify rather than everything the product can record.
- Scoping: we talk through what you want to achieve, who and which devices are in scope, and which Teramind plan and hosting option fit
- Inputs for your paperwork: we explain what each setting records, so your data protection impact assessment and monitoring policy describe the real set-up
- Privacy-first configuration: recording schedules, exclusions, masking, role-based access and a visible agent where that is right for you
- Deployment: agent roll-out through your existing device management tools, plus the rules, alerts and dashboards that answer your questions
- Ongoing help: we can help your administrators tune rules, keep agents up to date and review plans and licence counts at renewal
We are an IT and cyber security provider, not a law firm: for legal questions about monitoring your staff, take advice from an employment or data protection lawyer. Ask us for a quote and we will reply with options.
Frequently asked questions
What is employee productivity monitoring software?
It is software that measures how working time is spent on company computers: time in applications and websites, classified as productive or unproductive, active versus idle time, and hours against schedules. Products such as Teramind add time tracking by task and workforce analytics dashboards for teams, departments and locations.
How does Teramind decide what is productive?
You decide. Teramind uses productivity profiles in which you label applications, websites, patterns or built-in web categories as productive, unproductive, neutral or a custom category. Profiles can differ by department or employee, and past activity can be reclassified when you change a rule.
Is idle time the same as being unproductive?
No. Idle time only means there was no keyboard or mouse input for longer than the threshold you set. Someone reading, in a meeting or working on paper may show as idle. Teramind itself says its engagement score measures input activity, not productivity, and the ICO expects you to account for this when judging results.
Can I use productivity data in performance reviews?
Possibly, but carefully. The ICO says workers should be able to see and challenge monitoring results, that reports must allow for reasonable adjustments, and that monitoring used for performance management is high risk and needs a DPIA. Use the data to start a conversation, not as the only evidence. This is general information, not legal advice.
Does Teramind do employee time tracking?
Yes. All Teramind plans include time tracking, with time cards, time records and cost reports by employee and task. Staff using the Revealed agent can clock in and out against tasks, and the UAM plan adds an Outlook calendar integration that reports scheduled meetings as offline meeting time, separately from computer activity.
