In short
Teramind vs Hubstaff is a choice between two different jobs. Hubstaff is time tracking first: timesheets, activity levels, optional screenshots, GPS for field teams, scheduling and payroll. Teramind is security first: screen recording, detailed activity channels, behaviour rules, insider risk scoring, content-aware DLP and cloud, private cloud or on-premises hosting.

What Hubstaff does
Hubstaff is built around tracked time. Its pricing page describes four plans: Starter, with time tracking, timesheets, activity levels, limited screenshots and app and URL tracking, and client invoices; Grow, which adds tasks, reports, project budgets, expenses and one integration; Team, which adds unlimited screenshots, payments and payroll and unlimited integrations; and Enterprise, with custom set-up, account provisioning and dedicated support. Hubstaff Insights, which compares activity benchmarks and lets you define core, non-core and unproductive apps and URLs, is an add-on that is included in Enterprise. Across the range Hubstaff lists:
- Time tracking and automated timesheets: tracked time turned into timesheets for approval, payroll and client billing.
- Activity levels and idle time: a view of activity during tracked time and idle periods.
- Optional screenshots: frequency set per user, with irreversible blur or the feature turned off; Hubstaff says it does not record individual keystrokes or mouse clicks.
- App and URL usage: which applications and websites are used during tracked time.
- GPS time tracking: mobile tracking for field teams, with geofenced job sites that clock people in and out automatically through its Locations add-on.
- Scheduling, attendance and time off: shifts, clock-ins and team availability.
Hubstaff offers a 14-day free trial, and its apps cover Windows, macOS and Linux desktops as well as mobile devices. It is a natural fit for agencies, contractors and field teams who need accurate hours as much as they need visibility.
What Teramind does
Teramind also tracks time, schedules and productivity, but it is designed for organisations that need to see and control how data is handled:
- Recorded sessions and live view: evidence of what happened on screen on every plan, with an option from the UAM plan to record only when a rule is broken.
- Detailed channels: email, files, printing, keystrokes, online meetings, console commands and AI chats from the UAM plan. See user activity monitoring software.
- Behaviour rules and risk scoring: alerts, warnings and blocks when risky behaviour occurs, with dynamic risk scoring and anomaly detection.
- Data loss prevention: content rules, sensitive data classification, redaction and blocking on the Teramind DLP plan.
- Revealed agent with clock-in: a visible agent where people clock in and out, which suits contractors and freelancers. See the Teramind agent.
- Hosting choice: Teramind Cloud, your own AWS or Azure private cloud, or on-premises.
What Teramind does not do is monitor phones or tablets, run payroll or raise client invoices. It integrates with project management tools (currently through its Legacy interface), but timesheet billing is not its centre of gravity.
Weighing up the options?
We can compare them against your own requirements and give you a straight answer.
The key differences in practice
- Time versus risk. Hubstaff answers how many hours were worked, on what and where. Teramind answers what happened to your data and systems, and can intervene when something risky happens.
- Screenshots versus sessions. Hubstaff takes periodic screenshots you can blur or switch off. Teramind records sessions you can replay, which is stronger evidence and also more intrusive, so it needs a stronger justification.
- Field work. Hubstaff's mobile apps and GPS suit people who work away from a desk. Teramind is for computers only.
- Data location. Hubstaff is a cloud service with no on-premises option in its published plans. Teramind can be hosted in your own cloud account or on your own servers.
Some organisations use both: a time tracker for billable hours and Teramind for security on the computers that handle sensitive data. If you go that way, your DPIA should cover the combined effect on the people monitored, not each tool on its own.
Which suits you
Hubstaff is likely to suit you if:
- Your main need is accurate time, attendance, payroll or client billing.
- You manage field or mobile teams and need GPS and job-site clock-ins.
- You want light-touch activity context rather than security monitoring.
Teramind is likely to suit you if:
- You handle sensitive data and need to stop it leaving, not just log hours.
- You need investigation-grade evidence and an audit trail.
- You need on-premises or private cloud hosting, or coverage of terminal servers and virtual desktops.

Licensing, trials and getting started
Both products are licensed per person, with different packaging:
| Teramind | Hubstaff | |
|---|---|---|
| Licence unit | Each monitored user, with a five-seat minimum | Per seat, charged for every member on the plan |
| Terms | Monthly or annual on Starter, UAM and DLP; Enterprise is tailored | Monthly or annual payment options |
| Add-ons | OCR as a paid add-on below Enterprise | Add-ons such as Insights, Locations and Silent App for lower-tier plans, included automatically in higher tiers |
| Trying it | Free trial and live demo; trial accounts use a Standard agent that shows an acknowledgement notice | A 14-day free trial, without a credit card |
Because the products do different jobs, comparing them on licence cost alone rarely helps. Work out which job you are paying for first: hours and payroll, or security and data protection. We do not publish prices: ask us for a quote for Teramind and we can match the plan and term to your purpose.
Whichever product you trial, it is still monitoring: tell the people involved, use a small pilot group and turn off features the trial does not need, such as screenshots or keystrokes.
The UK law angle
Both tools capture personal data about workers, so the same UK GDPR duties apply: a lawful basis, a clear purpose, transparency and, for high-risk monitoring, a DPIA. Location tracking and monitoring that feeds pay or performance decisions both need careful thought, and the ICO says workers should be able to see and challenge monitoring results that affect them, with reasonable adjustments taken into account.
For home-based staff the ICO notes that privacy expectations are likely to be higher at home and that monitoring can inadvertently capture family and private life, so schedules and exclusions matter whichever tool you choose. Both vendors also offer a background option (Hubstaff's Silent App add-on, Teramind's Stealth agent for vetted customers), but the ICO expects workers to be told about monitoring except in very exceptional, targeted cases; see covert monitoring of employees. Our monitoring employees working from home page covers this. This is general information; take legal advice for your situation.
How Forever Systems helps
We supply, set up and support Teramind, not Hubstaff. If your purpose is security, insider risk or data loss prevention, we scope Teramind with you, recommend a plan and hosting option, arrange a trial, roll out the agent and configure schedules, exclusions and rules around your DPIA. If a time tracker is all you need, we would rather say so. Contact us to talk it through, or see Teramind pricing and plans first.
How Forever Systems helps with employee monitoring
We supply, set up and support Teramind for UK organisations. Monitoring only works if it is lawful and trusted, so we help you collect what you can justify rather than everything the product can record.
- Scoping: we talk through what you want to achieve, who and which devices are in scope, and which Teramind plan and hosting option fit
- Inputs for your paperwork: we explain what each setting records, so your data protection impact assessment and monitoring policy describe the real set-up
- Privacy-first configuration: recording schedules, exclusions, masking, role-based access and a visible agent where that is right for you
- Deployment: agent roll-out through your existing device management tools, plus the rules, alerts and dashboards that answer your questions
- Ongoing help: we can help your administrators tune rules, keep agents up to date and review plans and licence counts at renewal
We are an IT and cyber security provider, not a law firm: for legal questions about monitoring your staff, take advice from an employment or data protection lawyer. Ask us for a quote and we will reply with options.
Frequently asked questions
What is the difference between Teramind and Hubstaff?
Hubstaff is a time tracking tool with timesheets, activity levels, optional screenshots, scheduling, payroll and, as an add-on, GPS job sites. Teramind is an activity monitoring and insider risk platform with session recording, detailed channels such as email and files, behaviour rules, risk scoring and data loss prevention, plus on-premises hosting.
Does Hubstaff record keystrokes?
No. Hubstaff says it does not record individual keystrokes or specific mouse clicks. It measures activity levels during tracked time and can take optional screenshots, which can be blurred or turned off. Teramind can log keystrokes from its UAM plan, and that channel can be switched off.
Can Teramind track time for payroll?
Teramind tracks active and idle time, schedules and, with the Revealed agent, clock-in and clock-out, and it integrates with project management tools such as Jira (currently through its Legacy interface). It is not a payroll or invoicing system, so organisations that bill by the hour often keep a dedicated time tracker for that job.
Does Teramind work on mobile phones like Hubstaff?
No. Teramind's knowledge base says it does not support phones or tablets; it monitors Windows, macOS and Linux computers, servers and virtual desktop sessions. Hubstaff offers mobile apps with GPS time tracking for field teams, with geofenced job sites through its Locations add-on.
Can I use Hubstaff and Teramind together?
Yes, some organisations use a time tracker for hours and billing and Teramind for security on computers that handle sensitive data. Your DPIA should consider the combined effect of both tools on the people monitored, and staff should be told about each one.
