On paper the products overlap more than most pairs on this site. In practice the packaging matters: with Insightful, security is an add-on to an analytics product; with Teramind, it is the core of the higher plans.

What Insightful does
Insightful positions itself as work intelligence for operations and finance leaders. Its Workforce Analytics plan covers real-time overviews, capacity analysis, app and website usage and screenshots, and its plan comparison lists attendance tracking, active and idle time, productive time analysis, hybrid work insights, project time tracking and role-based access. Workflow Optimization, currently a beta open to select customers, maps and measures how work flows through processes.
Security comes through add-ons:
- Workspace Security Plan: insider threat detection and detailed activity logs, with app and website alerts, keyword alerts and shadow AI detection listed as add-on features; user-based risk analysis is listed as coming soon.
- Screenshot and recording add-ons: on-demand screenshots, higher-frequency screenshots and screen recording with playback, each with privacy controls.
- Deployment options: private cloud and on-premise deployment for an extra service fee; Insightful says on-premise requires licences for at least 250 employees and runs on a Linux server, with Mac and Windows endpoints and a silent install option.
Insightful offers a 7-day free trial and month-to-month billing on select plans.
What Teramind does
Teramind covers workforce and productivity analytics too, but its plans are built up from monitoring and security:
- Starter: screen recording and live view, websites and apps, instant messaging, time tracking and productivity analysis.
- UAM: adds email, files, printing, keystrokes, online meetings, console commands, AI conversation recording, anomaly detection and dynamic risk scoring.
- DLP: adds content-based rules, sensitive data classification, redaction, clipboard inspection and automatic blocking, plus Microsoft Purview label integration (currently through the Legacy interface).
- Enterprise: adds OCR (a paid add-on on the other plans), custom field capture, scriptable rules and business process analytics.

The key differences in practice
- Prevention, not just alerts. Insightful's security add-on focuses on detection and alerts, with file sharing and printing alerts still listed as coming soon. Teramind's DLP plan can inspect content and block a copy, upload or paste on the computer.
- Self-hosting thresholds. Insightful's on-premise option needs at least 250 licences. Teramind offers on-premises and private cloud hosting alongside its cloud service, and its published plans start from five seats; we can confirm the hosting requirements for your size at quote, which matters to smaller organisations with data location requirements.
- Platform coverage. Teramind's agent covers Windows, macOS and Linux, plus terminal server, Citrix and VMware Horizon sessions. Insightful's on-premise page lists Mac and Windows.
- Process analytics. Insightful's Workflow Optimization is built specifically for mapping processes. Teramind offers business process analytics on its Enterprise plan.
Both products include screen capture, so both need the same care under UK law: capture should be proportionate to a defined purpose and covered by your DPIA.
Which suits you
Insightful is likely to suit you if:
- Your main purpose is workforce analytics, capacity and process improvement.
- You want security as an optional add-on rather than the core of the product.
- You have at least 250 people if you need on-premise hosting.
Teramind is likely to suit you if:
- Data loss prevention and insider risk are central to why you are buying.
- You need private cloud or on-premises hosting alongside insider risk and DLP, or Linux and virtual desktop coverage.
- You want monitoring depth that can be switched on channel by channel as your purpose justifies.

When you compare like for like, add up the add-ons Insightful would need to match the Teramind plan you are considering, and remove the Teramind features your purpose does not justify. Self-hosting adds service fees and infrastructure work with either product. We do not publish prices: ask us for a quote for Teramind and we can set out the plan, hosting and term that fit.
The UK law angle
Screenshots, screen recording and keyword alerts all need to be justified as necessary and proportionate for a defined purpose. The ICO lists screenshots among the monitoring methods it covers, says you are particularly unlikely to be able to justify capturing webcam shots or footage and expects workers to be told about monitoring before it starts. Self-hosting can make UK data location simpler, but it does not remove your duties as controller. Keyword alerts and shadow AI detection look at what people type and which tools they use, so explain them clearly in your privacy information and employee monitoring policy before you switch them on, with either product.
